From clock-in and clock-out to hours paid

Enter the start time, end time and unpaid break for each day, and the calculator totals the hours for the day and the week, splits regular from overtime hours at the threshold you set, and multiplies by your rate if you enter one. Times can be typed in 12-hour or 24-hour form, shifts that cross midnight are handled correctly, and results are shown both as hours and minutes (7 h 45 m) and as decimal hours (7.75), which is what most payroll systems use.

Rounding, breaks and overtime rules

  • Decimal hours. Payroll works in decimals: 15 minutes is 0.25 h, 20 minutes is 0.33 h, 45 minutes is 0.75 h. The calculator converts for you and shows both.
  • Rounding. Some employers round clock times to the nearest 5, 6 or 15 minutes. Where rounding is used it must be applied neutrally over time, not always in the employer's favour. Set the rounding option to match your workplace, or leave it off to see exact minutes.
  • Breaks. Unpaid meal breaks are deducted; short paid rest breaks usually are not. Enter only the unpaid time.
  • Overtime. The default threshold is 40 hours per week, the standard under US federal law. Many countries and contracts use daily thresholds (over 8 hours in a day) or different weekly limits; set the threshold to match your contract. The calculator does not know local law and does not replace it.

Typical uses

WhoWhat they check
Hourly employeesThat the payslip matches the hours actually worked, including overtime.
Freelancers and contractorsBillable hours per client per week, in decimal form for invoices.
Small-business ownersWeekly totals for a handful of staff before running payroll.
Shift workersNight shifts across midnight, and cumulative hours across a rota.

To turn an hourly rate into a monthly or annual figure, use the salary calculator. To time work as it happens rather than reconstruct it afterwards, the stopwatch or the focus timer keep a running record.
